Scenario From Interview
Scenario based on Interview conducted on 11/21/96:
NOTE: This scenario is based on the IMS system. The IMS system was used prior to the Banner System. Artifacts from this interview should be used to compare the old system with the new system.
Vickie: OK, we can start with the appointment process for graduate assist and wage tasks. Right now, that is handled using a system called the G-3 process on IMS. It's just a process where you go in using various transactions to pull up screens on the IMS system, and then you just fill in the information on the screens as they come up. For the initial appointment for a graduate student, the first screen that you would pull up allows you to put in a transaction number to either add a new person completely, or to change an existing person, or to terminate an existing person. Once that first screen is completed, and you've entered your password, it will take you to the next screen that allows you to fill in the appointment information such as the end dates. The beginning dates you actually put on the first screen. It allows you to put in the type of appointment, the funding code, the monthly amount and that type of thing. Then as soon as all of that information is entered, you would just type your password and it would take you back to the main screen and you should get a transaction complete. As soon as that is done, the action goes to the department head's inbox by computer and then it has to be approved. Then once it is approved it goes on thorough the normal approval process through the university. For the graduate students, you only have to enter that once, and then they are paid every two weeks. The paychecks are automatically generated.
Claims Analysis
For the initial appointment for a graduate student, the first screen that you would pull up allows you to put in a transaction number to either add a new person completely, or to change an existing person, or to terminate an existing person.
- Entering a transaction number brings up a form for data entry.
Once that first screen is completed, and you've entered your password, it will take you to the next screen that allows you to fill in the appointment information such as the end dates.
